Business Process Engineering and Documentation
McNair's approach to business process analysis is a step by step structured, participative approach used to gather, analyze and validate existing business processes focusing on the business, specific area(s), function(s) or system(s). This includes the involvement of stakeholders, the leadership team and individuals most knowledgeable with the business processes being analyzed, ensuring there is a good understanding and consensus by the sponsor of the project, Steering Committee and stakeholders, and the project goals and objectives are in alignment with the organization's key business objectives. It is particularly useful in ensuring the accomplishment of business objectives relating to customer service, efficiency, effectiveness, and profitability. In addition, holistic process analysis can help assure controls are in place to minimize risks and exposures.
A vital key to transforming business is the complete understanding of the processes involved. This understanding is necessary for any change management approach to be of value. The current roles and business processes are documented, including flow diagrams that are comprehensive and easy to understand. Also included in the process are identifying bottlenecks, inefficiencies, gaps, overlaps, strengths, cost efficiencies and areas for improvement.
If business processes are not completely understood, Risk to current operations is introduced when making changes to Corporate Operating procedures. Corporate culture can be difficult to manage, but introducing change can expose new problem.
Once the current business processes are documented and the areas of improvement identified, a gap analysis is done to determine the best strategy to transform the business process. This transformation needs to be completed with "buy in" from stakeholders and customers to be successful.
The following are the steps for Business Process Analysis:
- Scoping and Planning
- Role Identification and Interactions
- Process Identification
- Information Gathering
- Interviewing and Map Generation
- Analysis
- Findings and Recommendations
